About this policy

Aventus Tutoring is operated by M.Z AL-RAFI & M.A UDDIN, ABN 41 922 008 262, in Bentley, Western Australia. This policy covers our website, trial enquiries, tutoring services and communications with families.

We use personal information to organise tuition, understand each student’s needs and keep families informed. We do not sell or rent your personal information.

Information we collect

Contact and booking details: parent or guardian and student names, phone numbers, email addresses, year level, subjects and availability. These help us respond to enquiries and arrange a suitable class.

Learning information: the student’s goals, diagnostic results, work, progress and any school results or learning needs you choose to share. This helps tutors plan lessons and give useful feedback.

Enrolment and account records: attendance, agreed fees, invoices, payment status, absence requests and messages exchanged with our team. We use these to manage enrolments, payments and concerns.

Health and support needs: relevant allergies, accessibility needs or information supporting an absence request. We ask for consent before collecting sensitive information, unless the law permits or requires otherwise. Please share only what we need to support safe participation or assess the request; a detailed medical history is not needed.

How we collect and use it

Most information comes directly from you or your child through our enquiry form, email, phone, messages and conversations. Tutors also record attendance and learning progress during classes. We seek your permission before requesting information from a school or another professional, unless disclosure is authorised or required by law.

We use these records to arrange trials, tailor teaching, communicate progress, issue invoices and refunds, respond to concerns and meet our safety and legal responsibilities.

You may ask a general question without identifying yourself. To book or provide tutoring safely, we need certain contact and student details. If you prefer not to provide something, speak with us about what is necessary and what we can arrange.

Students under 18

A parent or guardian must approve paid enrolment for a student under 18. Please only provide information about a child you are authorised to act for. We involve parents in class arrangements and progress updates while treating each student’s information with care.

We consider a young person’s age, understanding and any safety concerns when handling consent or a request for their information. We may need to confirm someone’s authority before sharing a student’s records.

Who can access information

The founders and tutors receive the information they need to organise or deliver tuition. We also use service providers for enquiries, email, file storage and website hosting. We limit what we share to the purpose involved.

Google Forms handles trial enquiries, and Google Drive and Gmail support our records and communications. Netlify hosts our website. These providers may store or process information outside Australia, including in the United States and other countries where they operate.

We may also share relevant information with professional advisers or authorities where necessary and permitted by law, including to meet legal obligations or respond to a serious safety concern. We do not provide family contact lists to other businesses for their marketing.

Our website and Google Form

The booking form on our website is our Google Form. Submitting it sends your answers to Aventus through Google’s systems. We use those answers to contact you about the trial and suitable tuition.

Loading the embedded form connects your browser to Google, which may process technical information and use cookies under its own privacy policy. Website hosting also involves technical information such as your IP address and browser details to deliver pages and maintain security.

Our pricing calculator works in your browser. Calculating a price does not send those selections to Aventus. We have not added advertising pixels or optional analytics to this website.

Google, social media platforms and other linked websites have their own privacy policies. Browser settings let you manage cookies, although some form features may then work differently.

Keeping information secure

We take reasonable steps to protect personal information against loss, misuse and unauthorised access. Access to family records is restricted to authorised people who need it for their role.

We keep records for as long as they are needed to provide tuition, manage accounts, resolve concerns or meet applicable legal requirements. When information is no longer needed, we take reasonable steps to delete it securely or remove identifying details.

If we discover a privacy incident, we will assess it, take steps to contain it and contact affected people and relevant authorities where required by law.

Photos, videos and reviews

We ask for separate, voluntary permission before using an identifiable student photo, video or privately supplied testimonial in our marketing. For students under 18, we obtain parent or guardian permission and respect the student’s wishes. Saying no does not affect their place or the support they receive.

You can withdraw that permission by contacting either founder. We will stop new use and remove material from channels we control where reasonably practicable. We cannot recall printed material already distributed or copies shared by others.

Our website may display public Google reviews with the reviewer’s public name, rating and review text. Contact us if you want a review removed from our website. Changes to the original review are managed through Google.

Messages and marketing choices

We contact families about enquiries, lessons, progress, payments and other matters needed to provide tutoring. A trial enquiry is not blanket permission for unrelated promotional messages.

Where we send promotional email or SMS with consent, each message will identify Aventus and offer a way to opt out. You can also contact us directly to stop promotional messages. Essential messages about an active enrolment will continue.

Access, corrections and removal

Contact us to ask what personal information we hold about you, request a copy, correct an error or ask us to remove information we no longer need. We may check your identity and, for a child’s records, your authority before responding.

We will respond within a reasonable time. Some records may need to be retained for legal or account purposes, and we must protect other people’s privacy. If we cannot fulfil part of a request, we will explain why and discuss the available options.

Contact us or raise a concern

Email aventustutoring@gmail.com, call Mahir on 0410 857 557 or Safwan on 0480 237 465. Please describe your request or concern and the outcome you would like.

A founder will acknowledge your concern, review what happened and respond with the steps we can take. If the concern involves one founder, you may contact the other. Raising a privacy concern will not disadvantage a student.

If you remain dissatisfied, you can seek guidance from the Office of the Australian Information Commissioner at oaic.gov.au. It can explain your options and whether your complaint falls within its jurisdiction.

Updates to this policy

We will update this page if our information practices change. The date shown on the policy identifies the latest version. We will tell enrolled families about material changes affecting them and seek fresh consent where required.
